Software and AI for insurance and wealth management

Cut manual intake, document sorting, renewal tracking, and market monitoring with AI your staff reviews, custom dashboards, and connected client records.

These tools support monitoring, intake, and internal preparation. They do not trade, give investment advice, or make underwriting decisions. Your professionals review important outputs, and we do not certify regulatory compliance.

Best for

  • Agency owners and brokers who lose hours to intake forms, document requests, and renewal follow-up.
  • RIAs and wealth practices that track positions, triggers, or review dates by hand.
  • Operations teams that want AI help with sorting and preparation, with a licensed person approving the result.

What we build for insurance and wealth teams

Each piece is scoped around your process, your systems, and the review steps your firm requires.

Monitoring and alert dashboards

Track portfolio triggers, trailing stop levels, policy renewals, or operating metrics with scheduled checks and email or push alerts. Alerts only: nothing is traded automatically.

Client intake and renewal coordination

Connect intake forms, document collection, e-signatures, and CRM records so staff stop chasing paperwork by hand.

Document sorting and preparation

Organize incoming policy documents, statements, and forms with AI-assisted extraction. A person reviews every result before it is used.

Private AI workspaces

Set up a company-controlled AI workspace such as Open WebUI or LibreChat, or an enterprise Claude or OpenAI plan, with access and spending controls.

CRM, billing, and review follow-up

Keep client check-ins, annual review reminders, and referral partner tracking organized in one place.

Use what you have, connect it, or build

Your agency management system, planning software, and CRM probably hold much of the data already. We start there.

Use your current tools better

When it fits:Your system can already do it, but reminders, fields, or workflows are not set up.

How we help:Configure what exists, write clear procedures, and train the team.

Connect your tools

When it fits:Intake, documents, CRM, and billing each hold part of the client record.

How we help:Link them so staff enter information once and renewals and reviews do not slip.

Build software

When it fits:You need monitoring, a dashboard, or a review step that no product in your stack provides.

How we help:Agree the scope and the review rules in writing, then build and test with your real examples.

What we can connect depends on the access and features of each system. We check that before recommending a build.

How a project runs

  1. Step 1

    Map the workflow

Review how intake, documents, renewals, or monitoring work today, and who signs off at each step.

  2. Step 2

    Agree the plan

Confirm the work, price, estimated timeline, review rules, and how you will decide it is ready. You approve before building starts.

  3. Step 3

    Build and test

Review working software as we go, using sample or redacted records where appropriate.

  4. Step 4

    Launch and train

Roll out to a small group first, with access controls, training, and written instructions.

  5. Step 5

    Check it in use

A 14 to 30 day improvement period against the goals you agreed, followed by optional ongoing support.

We confirm a timeline estimate after reviewing systems, data, access, and review turnaround. Estimates are not guarantees.

Limits of what these tools do

Financial and insurance work carries rules that we do not own. These limits apply to everything on this page.

People review important outputs

AI-assisted extraction, summaries, and drafts are checked by a qualified person before anyone relies on them or sends them to a client.

No advice or decisions

Our tools support monitoring, intake, and internal preparation. They do not execute trades, give investment advice, or make underwriting decisions.

Your advisers set the rules

Your legal and compliance advisers govern FINRA, SEC, and state insurance requirements. We build to the rules you give us.

Access and records

We agree who can see which client records and which actions are logged before anything is built.

What we put in writing

  • Which steps a person must approve before anything is used or sent
  • Who has access to which records, and what is logged
  • What each dashboard or alert does and does not do
  • Which third-party services touch client data, and their settings

Everyday Workflows does not certify regulatory compliance and is not a substitute for your legal or compliance advisers. How we handle your data.

Build costs and ongoing costs

Projects are scoped in writing, and the price is agreed before work starts.

Hosting and support:
A monthly plan applies when we host or run a system for you. Deployment into your own cloud account is available by agreement.
Other costs and terms:
Market-data, CRM, e-signature, and AI subscriptions are billed by those providers unless we agree otherwise in writing. Ownership, licensing, and exit terms follow your signed agreement.
