Software and AI for staffing and recruiting firms

Connect sourcing, outreach, your ATS or CRM, and interview scheduling so recruiters can spend their time placing candidates.

Best for

  • Owners, presidents, and operations leaders at staffing, recruiting, and executive search firms.
  • Teams where recruiters retype the same candidate and job details into several tools.
  • Firms that want AI to help with drafting and summaries, with recruiters still making the calls.

What we build for recruiting teams

We start with the part of your process that costs recruiters the most time, then connect or build only what is needed.

Candidate and client scheduling

Multi-step interview booking with Zoom or Teams links, calendar invitations, SMS and email reminders, and controls for your recruiters.

Outreach-to-ATS/CRM sync

Keep outreach, replies, candidate status, and opt-outs consistent across tools such as Instantly, HubSpot, Loxo, or a custom database, without manual entry.

Lead and job-order workspaces

Bring market research, company details, and recruiter workflows into one internal workspace.

Resume and job-order formatting

Read incoming resumes or job orders, standardize the fields, and produce clean client-ready packets that a recruiter reviews before they go out.

Practical AI for your team

Choose and set up AI recruiting tools, or configure Claude, ChatGPT, or a company-controlled AI workspace, for candidate summaries, search strings, and outreach drafts, with written team rules.

Use what you have, connect it, or build

You probably already pay for an ATS, a CRM, and an outreach tool. We look at those first.

Use your current tools better

When it fits:Your ATS or CRM can already do the job, but it is set up poorly or only partly used.

How we help:Clean up stages and fields, write clear procedures, and train the team.

Connect your tools

When it fits:Each tool works, but recruiters copy data between them by hand.

How we help:Connect them so status changes, replies, and opt-outs move on their own.

Build software

When it fits:Your process needs a scheduler, workspace, or review step that no product offers.

How we help:Agree the scope in writing, then design, build, and test it with your real examples.

What we can connect depends on the access and features each of your tools provides. We check that before recommending a build.

How a project runs

  1. Step 1

    Walk through the process

Review how a candidate and a job order move through your firm today, and where recruiters lose time.

  2. Step 2

    Agree the plan

Confirm the work, price, estimated timeline, and how you will decide it is ready. You approve before building starts.

  3. Step 3

    Build and test

Review working software as we go, using real job orders and resumes where appropriate.

  4. Step 4

    Launch and train

Roll out to a small group of recruiters first, then to the team, with training and clear instructions.

  5. Step 5

    Check it in use

A 14 to 30 day improvement period against the goals you agreed, followed by optional ongoing support.

We confirm a timeline estimate after reviewing your tools, data, access, and review turnaround. Estimates are not guarantees.
