Custom software & automation

Custom software for the work off-the-shelf tools cannot do

When buying or configuring a tool does not fit, we design and build the software: internal tools, client portals, integrations, dashboards, and automations, with AI features where they help. Standalone, with no AI program required, a written scope, and a documented handoff.

The wish list is the low-friction first step. The $99 consultation is a separate, paid, 1-hour live session, priced apart from any assessment, build, or support plan.

Who this is for

  • Teams whose process lives across spreadsheets, inboxes, and four tools that do not talk to each other.
  • Companies running a legacy system that is hard to maintain, extend, or hire for.
  • Operators with a workflow that no off-the-shelf product handles properly.
  • Businesses that need a client or partner portal, or AI features inside their own workflow, with review steps built in.
Deliverables

What we build

Every build includes solution design, build and QA with live data where needed, deployment and monitoring setup, team training, and documentation.

Internal tools and dashboards

Admin screens, review queues, and reporting that replace spreadsheets and manual status chasing.

Client and partner portals

Secure logins, document exchange, status views, and forms that connect back to your systems.

Integrations and data sync

APIs and webhooks between CRM, email, scheduling, billing, and other systems you already use.

Workflow automation

Automated steps with retries, error alerts, and exception queues so failures reach a person.

AI-assisted features

Document extraction, classification, drafting, or routing, with human review where mistakes would matter.

Platform modernization

Replacing a legacy system with a modern one, including migration, cutover plan, and training.

Decision

When to build, and when not to

Custom software is the right answer less often than software vendors suggest, and more often than tool vendors admit.

Buy

Signals:A product covers the core workflow and you can live with how it works.

What we do:We help you choose and set up the product. No build work.

Configure

Signals:A product fits once connected to your other systems or adjusted with automation.

What we do:We build integrations and automation around it instead of replacing it.

Build

Signals:Your process is unusual, you need strict review or audit steps, existing tools force workarounds, or you need to own the system.

What we do:We scope, design, and build custom software from a written scope.

We start from a technical audit of what you run today so the decision rests on facts.

Process

How a build runs

Scope in writing first. Then build in increments you can see.

  1. Step 1

    Blueprint

Written scope, timeline estimate, KPI baseline, and acceptance criteria. You approve before build work starts.

  2. Step 2

    Design

Architecture, data model, integrations, and access rules agreed before code is written.

  3. Step 3

    Build in increments

Working software at checkpoints, tested against your real data where appropriate.

  4. Step 4

    Launch and train

Deployment, monitoring setup, live handoff, and short SOPs for your team.

  5. Step 5

    Post-launch window

A 14 to 30 day optimization window against the agreed measures, then optional ongoing support.

Timelines depend on integrations, data quality, access, and review turnaround. Focused automations have been scoped in a few weeks. Larger platform work takes longer. We state the estimate in writing and flag changes early. It is not a guarantee.

Pricing & terms

Cost, ownership, and hosting

Build price, hosting, and third-party costs are separate lines so nothing is hidden in a bundle.

Build price
Fixed price from the written scope. Payment is 50% to start and 50% after the agreed KPI review. Out-of-scope work goes through a change order with the price stated first.
Ownership and license
You own your data and brand assets. After final payment you receive a perpetual license to the custom deliverables for internal business use. Everyday Workflows keeps ownership of reusable libraries, templates, and connectors.
Hosting: our cloud
Default option. We host and manage under license. Running a hosted system requires an active monthly service plan covering runtime, monitoring, and updates, quoted from the scope.
Hosting: your cloud
We can deploy to your own cloud account instead. That has a one-time setup and a lighter maintenance plan for updates and security patches.
If a service plan ends
We provide a data and code export. Hosted runtimes pause after a 15 day grace period, and no data is deleted without written approval. You can keep running the deliverables on your own infrastructure.
Third-party costs
Cloud, AI API, and SaaS fees are billed by those providers and are not in our fees unless the written scope says so. The scope states whose account each one runs on.
